Rooms at the Library

While library spaces are designed primarily for library programs, we offer 15 reservable rooms available for public use by both individuals and groups. These rooms are meant to provide an open forum for knowledge, ideas, and cultural enrichment. All rooms are available free of charge on a first come, first served basis, and no library card is needed. Certain events and activities are prohibited (see below).

About the Rooms

Event Rooms (3)

All Event Rooms allow for custom setups and two of them include limited kitchen facilities. A minimum number of attendees is required. We provide tables, chairs, and audiovisual equipment (training highly encouraged); however, you are responsible for any room setup and for returning the space to its standard setup.

The Riverview Room is able to seat up to 200 people. This room is normally used for large presentations, discussion panels, book readings, and small concerts. The Innovation Lab can seat 12 people for classroom-style presentations. It is normally used for cooking workshops. The RCU Dabble Box Makerspace is great for DIY projects and demonstrations (8 to 64 people).

Study Rooms (9)

Study Rooms are smaller spaces with a limited seating capacity of 1–6. Four of these rooms are for general use, while five are meant for children under 19 (or adults supervising children). They are normally used for quiet study, tutoring, and very small meetings. Some rooms include a digital display screen.

Meeting Rooms (3)

Meeting Rooms are mid-sized spaces with fixed setups, providing a quiet, semi-private setting for groups of 8–24. They are normally used for meetings, group instruction, and book clubs. All rooms include audiovisual capabilities (training highly encouraged).

Do I need a library card to reserve a room?

Nope!

Do I need to reserve rooms online?

We encourage online reservations, but you can always talk to staff about booking a room.

Will this cost money?

No. We do not charge anything to reserve any of our rooms. However, damage to rooms (or excessive mess) will result in a $100 fee plus costs. See our room reservation policy for full details.

How long can reservations be?

Rooms are available only during normal library hours. Study Rooms can be reserved for up to two hours per day. (If there is no one waiting, time may be extended to a maximum of three hours.)

Meeting Rooms and Event Rooms can be reserved for up to ten hours Monday through Thursday, and up to eight hours on Friday and Saturday. (However, the RCU Dabble Box Makerspace has a 3-hour time limit.) 

When can I reserve a room?

Study Rooms and Meeting Rooms (when available) can be requested on same day basis or up to three months ahead of time. Event Rooms (when available) must be requested at least two weeks prior to your reservation date and up to three months ahead of time.

How often can I reserve a room?

Study Rooms can be reserved once a day. Meeting Rooms and Event Rooms can be reserved up to three times in a three month period.

Do Study Rooms have age requirements? 

We have four general use Study Rooms on Level 2 open to all ages (children ages 0–7 must be supervised by an adult). There are three Study Rooms for School-Age Kids on Level 1 meant for ages 8–12 (and ages 0–7 with a supervising adult). We have two Study Rooms for Teens on Level 1 meant for ages 12–18.

Can a parent or caregiver reserve a study room while their child hangs out in Youth Services?

Yes! If your child is old enough to use the library unsupervised (ages 8 and older), you may reserve one of three rooms designated as Study Rooms for School-Age Kids, located within Youth Services. This kind of usage must be approved by Youth Services staff at the time of your reservation. 

Can I eat and drink in a room?

As in the rest of the library, snacks and beverages are allowed in Study Rooms and Meeting Rooms as long as they don’t make a mess and don’t have a strong odor. Exceptions are made for two of our Event Rooms (which contain partial kitchens): the Innovation Lab and the Riverview Room. Please indicate your needs when reserving these rooms.

Can I change my Study Room reservation time on the day of my reservation?

Yes. For Study Rooms only, if you contact library staff no less than two hours before your reservation start time, you may change the time as availability allows. (715-839-5004) 

What kinds of events and activities are not allowed?

Library rooms are not available for…

  • Fundraising, money‐making, or monetary solicitation
  • Programs or meetings where an admission fee is charged; a raffle is held; or donations, collections, or fees of any kind are requested or suggested
  • Purely social functions (e.g. receptions, birthday parties, showers, etc.)
  • Political rallies supporting or opposing a specific candidate
  • Uses that would disturb library customers, impede library staff, endanger the library building, or interfere with functions of the library
  • Hateful Conduct activity, as defined by American Library Association
  • Unlawful activity

Does my event or meeting need to be open to the public?

No. You are no longer required to open your event or meeting to the general public. 

Will the library promote my event?

Unfortunately, no. You will be responsible for promoting your own event. Only library and library co-sponsored events appear in our events calendar, website, newsletter, social media channels, and/or in-house signage. The library cannot be listed as a sponsor or co-host, and use of the library’s logo is not permitted. Publicity for your event may include the library’s name, address, and appropriate room designation only as locational information. See our room reservation policy for full details.

How do I check in?

When you get to the library, you will need to check in and have your room unlocked. If your room is on Level 2, check in at the service desk on that level. For all other rooms, check in at the main service desk on Level 1.

What if I miss my reservation time?

If you don’t show up to use a Study Room within 15 minutes of your reservation time, the room will be made available to others. If you don’t show up for a Meeting Room or Event Room reservation, it will still count towards your reservation limits. 

Can I change my Study Room reservation time?

Yes. You can change your reservation no less than two hours prior to the start time. Simply call and talk to a staff member at 715-839-5004 ext. 6.

How do I use audiovisual equipment?

Audiovisual training for Meeting and Event Rooms is available (and highly encouraged) in advance of your reservation date, but technology assistance will not be provided at the time of your event. If your reservation has been approved, please schedule a brief training session at least 2 weeks prior to your event right here

What if I don’t have an email address?

You need a valid email address to reserve a room online. If you don’t have an email address, please call (715) 833-5311 or visit the library’s main service desk on Level 1.

Request Audiovisual Training

We hope the room you have reserved at the library fits your needs. Unlike a paid venue, the library isn’t able to guarantee AV assistance during your event. Training for the room’s audio/visual equipment is strongly recommended, and must be completed prior to your reservation date. 

Important

• Training typically takes about 15 minutes, unless you have complex needs.
• Training is only offered during regular library business hours.
• Training should be requested as soon as possible after your reservation is approved, and at least 2 weeks prior to the event date. On short notice, it can be challenging to find a time when the room, a staff member, and you are all available.
